BOard Meeting Minutes | October 20th, 2021

 
Attendance: Susan Tyer, Anita Sheppard, Rhonda Lamberg, Ben Elliott, Koreen Pray, Cole Morison and Heather Marra.
 
11:08:  Call Meeting to Order
 
Approval of September 15, 2021 Minutes
(I did not have this documented, I must of miss this in the beginning of the meeting, if we approved please let me know if you made the motion or seconded) 
 
Correspondence and News:
 
Arts & Crafts Association- there are two Arts and Crafts shows in our community. One is at the public library and the other is in the middle school. The people that were in charge are not going to do it anymore. They asked the HL Chamber of Commerce who they should go to continue the show. The Chamber suggested the HL Rotary Club. $19,000-$22,000 is what they brought in pervious years doing the Arts and Crafts show. They charged $70 for a booth. They paid $2,000 for people to work the grounds. We are going to ask the club if this is something we should pursue. These events will take place on holiday weekends in the summer.   
 
Rotary Holiday Gathering at Kabintree Koncepts
Koreen will let us know what day it will be and the event will be in December. We can bring a dish to pass and what we would like to drink. You can also bring a spouse or friend to this event.  
 
Giving Wednesday – December 1st
We can choose who to donate to, this is a matching grant so we will match the donations up to $1,000.
 
            District Governor’s Visit – November 17th
 
Grant Requests:
 
            Total Budgeted:  $12,000.00
            Total Spent to Date:  $2,200.00
 
On  Saturday, October 2nd via email a motion was made by Cole to proceed with a Matching District Grant of $2,000.00 total to Illuminated Healing to purchase video equipment.  It was seconded by Rhonda and passed unanimously.
 
 
  1. Munson Healthcare Foundations – Grayling Hospital – Heather Appoid
  1. Project – High-Definition Patient Monitors for Operating Rooms
  2. Cost - $78,000.00.  Request:  $1,000.00 - $5,000.00
  3. Applied last year and not approved by the Board
Rhonda made a motion to approve $1,000, Anita Seconded and all approved.
 
  1. Russ Graham/ Matt Grover Memorial Thanksgiving Dinner – Lee Prindle
  1. Project:  Thanksgiving Dinner for needy families (95 dinners served last year, in prior years it’s been 300)
  2. Cost:  $1,500.00 plus donations from Family Fair.  Request:  $500.00
  3. 11/20 gave $500.00
Cole made a motion to approve $500, Heather seconded and all approved.
 
  1. ACT NOW – Julie Hill
    1. Project:  Kids Helping Kids (Foster Family/Children Christmas 2021 Program)
    2. Cost:  $4,330.00.  Request:  $1,000.00
    3. 11/20 gave $800.00
Anita made a motion to approve $800, Ben seconded and all approved. 
 
Membership – Corporate Membership – Koreen
Proposal by Anita- Anita explained that the dues all goes out of the club with exception to $5 per quarter. Corporate Members are not Rotarians so they do not need to pay into the dues that are accounted for Rotary members.
The benefits of having corporate members is to bring in more people to assist and help with our events.  
The disadvantage of having corporate members is that it has been expressed that some call themselves Rotarians where they are not Rotarians.  
We need to clearly define the corporate member and what that means.
We will need to do a review of corporate members yearly and approve them before they enter the club as a corporate member.
We do expect the corporate members to stand in for the Rotarian and attend or assist in our fundraising events.
The board discussed calling Corporate Members- “Corporate Associate of Rotary”.
Cole said he will write up parameters for a corporate member. 
 
Christmas Live Sale – December 1st  - update from Heather
The Christmas Live Sale committee is Heather, Denise and Rita. The Live Sale will happen on December 1st at Morning Glory. Denise will be presenting all the items for sale on Facebook Live. Heather will be creating the marketing for Facebook, the Resorter and the Denton Township sign at the corner of M-18 and M-55. We will be asking the club to donate and a procurement sheet will be available for Rotarians to fill out when they turn in their item. Rotarians can bring their items to club assemble for collection or drop them off at Morning Glory during their open hours. We are asking each Rotarian donate an item in new condition of $20 or more for the sale.  
 
Club Report – Rhonda
Rhonda sent that out to everyone on the board. She changed some language and updated the report. She removed Strive and she added the international service trip.
Ben made a motion to accept, Heather seconded and all approved.
 
Thomas McNamara Trail – Rhonda
Rhonda talked to Tom’s wife about what Tom wanted on the trail. The trail is located across the street from the Denton Soccer Fields behind the pavilion. Tom wanted to have an educational trail. There have been suggestions of signs, having the trial be wheelchair accessible and a bench.
 
Motion for Rhonda to support this project: Ben made amotion, Anita seconded and all approved.
