Rotary February Board Meeting Minutes 2/15/23
 
Meeting Called to Order by Heather Marra at 11:00 a.m.
 
Attendance: 
Ben Elliott, Rita VanScyoc, Anita Shepard, Susan Tyer, Rhonda Fossitt, Heather Marra,
Barb Souder, Diane Nielsen, Gary Gandolfi
 
Approval of January Board Meeting Minutes
January Board Meeting Minutes were approved.
 
Vote for Liquor License for Auction:
Anita made a motion, Barb seconded and all approved (8 votes total). 
 
Membership
Wende Kluner transferred from another club and Ben discussed what dues would be owed.
 
 
Financial Update- Ben Elliott
  • In advance of the meeting, Ben sent out a Budget Spreadsheet. Included by column is “budget proposed”, “actual spending” and “grant summary”. Ben reviewed at the meeting.
  • Ben contacted our accountant, Dan Decker, CPA, who advised it is not necessary to get a financial audit. An audit would be around $4000. With the size of the club and shared responsibility, Dan thought it would be overkill.
 
Club Directors for 2023-2024 Rotary Year
We had two board directors’ positions open for 2023-2024. Scott Bates has agreed to fill one of the openings. Therefore, we have one opening left. An announcement will be
made at the meeting.
 
Club Business
Auction Discussion & Update - Auction Financials
Discussion took place on items that need to be shown on the Auction Item Spreadsheet. This year businesses can sponsor a table at the Auction for $100. Advertising for the
business will be featured at the individual table. This does not have anything to do with seating.
 
Local Grants
  • Roscommon County Literary Council applied for $1000. This is to include Dolly Parton reading club, tutoring adults, and book sale. 500 kids under 5 years old in Roscommon County receive the Dolly Parton books on a regular basis. This grant was approved by the Board. Diane made the motion and Gary seconded. All were in favor.
  • Roscommon County Food Pantry applied for $1200. This is for the Food Truck on August 12. This grant was approved by the Board. Barb made the motion and Rita seconded. All were in favor.
Other possible future grant applicants were discussed briefly such as Collins Elementary needing help for Field Day and the Comfort Closet at the High School.
 
 
Citizen of the Year
Discussion took place on whether the club wanted to sponsor a Citizen of the Year. This had been done several years ago. It was determined that this is something the club does not want to do at this time.
 
Discuss Public Image Grant

We have approved for the Public Image Grant for $600. The Board decided that we would spend it in the following way: (1) $100 for advertising for the Golf Outing (2)
$100 for advertising for the Auction. (3). $400 for Zoom subscription
